This notice explains what personal data we collect about you, how we use it, who we share it with, how long we keep it, and the rights you have. It applies to visitors to our website, prospective and existing customers and their staff, suppliers, and other business contacts. Because we sell business software, most of the personal data we handle relates to individuals acting in a business capacity.

When you contact us, request information or a demonstration, subscribe to updates, attend an event, or become a customer, we may collect your name, job title, employer, business email address, business telephone number, the content of your enquiry or correspondence, and any other details you choose to provide.

Information from other sources
We may receive business contact details from our group and partners, from referrals, and from publicly available professional sources (for example company websites and professional networking sites) where we have a legitimate business reason to contact you.
We do not intentionally collect special category data (such as health, or racial or ethnic origin) through our website, and we ask that you do not send us such information.
4. How and why we use your personal data

We will only send you marketing where we are permitted to do so. You can ask us to stop sending marketing at any time by using the unsubscribe link in our emails or by contacting us. Opting out of marketing will not stop service or transactional messages relating to a contract or enquiry.

7. Who we share your personal data with
We do not sell your personal data. We may share it with:
- service providers who process data on our behalf, such as website hosting, IT and cloud infrastructure, our CRM and email/marketing platforms, analytics providers, and payment and accounting providers;
- the OfficeTorque software provider and our wider group OfficeTorque Limited, where necessary to license, deliver and support the software you use;
- our professional advisers, such as lawyers, accountants and auditors;
- regulators, law enforcement or other authorities where we are required to do so by law; and
- a buyer or successor in the event of a sale, reorganisation or transfer of our business.
We require our service providers to keep your data secure and to use it only for the purposes we specify.
8. International transfers
Some of our providers and group entities may be located outside the United Kingdom, including New Zealand. Where we transfer your personal data outside the UK, we ensure a similar degree of protection by relying on one of the following safeguards: a UK “adequacy” decision for the country concerned; the UK International Data Transfer Agreement (IDTA) or the International Data Transfer Addendum to the EU Standard Contractual Clauses; or another lawful transfer mechanism. You can ask us for a copy of the safeguards we use.
9. How long we keep your personal data
We keep personal data only for as long as necessary for the purposes we collected it for, including to satisfy legal, accounting or reporting requirements. Enquiry and marketing data is generally retained for a reasonable period after our last meaningful contact with you, and customer and financial records are retained for the periods required by law (for example, six years for tax and accounting records). We then securely delete or anonymise it.
10. How we keep your personal data secure
We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration. We limit access to those who need it, and we have procedures to deal with any suspected personal data breach and will notify you and the ICO where we are legally required to do so.

Subject to certain conditions, you have the right to:
- request access to the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to erase your data*, or restrict how we use it;
- object to our processing based on legitimate interests, or to direct marketing;
- request the transfer of your data (data portability); and
- withdraw your consent at any time where we rely on consent.
To exercise any of these rights, please contact us using the details in section 1. We will respond within one month. You will not usually have to pay a fee.
*NOTE: Should you choose to have us erase your data, we will no longer be able to deliver our services to you.
